How the bank feed decides to post, match or ask you

The rules behind auto-posting: invoice/bill matching, already-paid duplicates, statutory remittances, deferred revenue and Stripe payouts.

Learned rules re-use the account you approved before (never another bank account). Deleting an invoice or bill also clears any pending bank-line link to it.

Step-by-step

  1. 1
    Invoices and bills

A receipt or payment is applied automatically when the amount fits and the customer/vendor is identified (full name, initial + surname, or the document number in the narration). Amount alone is not enough - the line waits in Review Needed with a hint saying exactly what fell short.

  2. 2
    Already paid

If the amount and party fit a document that is already settled, the line is held as a possible duplicate receipt instead of booking new income.

  3. 3
    Tax and payroll remittances

PAYE, pension, NHF/NSITF, national insurance, WHT and VAT/GST payments are matched to the open liability for the period using your country's statutory components and post against that specific liability account; the remittance is marked paid.

  4. 4
    Deposits and Stripe

Un-invoiced deposits that fit a deferred-revenue schedule are held for confirmation. Stripe payouts are matched to Stripe clearing only when they come from the Stripe account connected in AkountFly; other Stripe inflows are treated as customer receipts.

  5. 5
    Undo

Deleting a statement reverses all of its postings, un-applies its payments and returns remittances to due.
