Create Your First Invoice
Draft, issue, and manage invoices seamlessly with this guide.
Invoices are essential for tracking money owed by customers.
Statuses: Draft → Issued → Partially Paid → Paid → (optional) Written Off.
Draft invoices allow full editing. Once Issued, they can still be adjusted until a payment is recorded (any change re-issues the invoice, maintaining a complete audit trail).
Behind the scenes: Issuing an invoice posts a journal entry DR Accounts Receivable / CR Revenue (+ CR VAT if applicable). Recording a payment results in DR Bank / CR Accounts Receivable.
Step-by-step
- 1Go to Invoices
Navigate to Invoices in the sidebar.
Go to Invoices - 2Create a New Invoice
Click Create Invoice to start drafting.
Create a New Invoice - 3Select or Add a Customer
Choose an existing customer or click '+ New' to add one without leaving the invoice.
Pick or add a customer - 4Enter Line Items
Include description, quantity, unit price, and VAT rate (auto-applies from your Business Tax Profile).
Save the line as a reusable Product for quicker future entry.Add line items - 5Specify Dates
Set the issue date and due date. Payment terms auto-fill based on your defaults.
Set dates - 6Save, draft or send
Scroll to the bottom action bar and choose: Save to post it, Draft to keep editing later, or Send to email it to your customer with a payment link.
You can attach documents like PO copies or delivery notes to any invoice.Save, draft or send
