Provide or delete an inventory breakdown
Itemise any purchase posted to your Inventory account: straight from the Inventory Transactions tab. And remove a breakdown safely if you got it wrong.
When a purchase is posted to your Inventory account (from the bank feed, a bill, or a manual journal), AkountFly asks you to break it down into items so your stock register stays accurate.
You don't have to do this during upload: every un-broken-down transaction stays on the Inventory → Transactions tab with a Provide Breakdown button, and the Pending Breakdowns card counts what's outstanding.
In the breakdown modal you can upload a CSV, Excel or PDF (AI extracts the items) or add rows manually. Each row carries quantity, unit cost, a selling price and a revenue account: pick an existing account or type a new name and AkountFly auto-creates it as a 4xxx revenue GL, reused across invoices and reports.
The landed total must equal the effective inventory value of the transaction: the modal shows the target and flags any mismatch.
Deleting a breakdown: click the trash icon on the transaction row. The breakdown lines and derived items are removed and the transaction returns to pending breakdown: GL postings are never touched by deleting a breakdown.
Step-by-step
- 1Find the transaction
Go to Inventory → Transactions. Rows missing an itemisation show Provide Breakdown.
- 2Upload or type the items
Upload a CSV/Excel/PDF of the purchase, or add item rows manually with quantity and unit cost.
- 3Set selling details
Give each row a selling price and a revenue account: type a new name to auto-create a revenue GL.
New revenue GLs are created in the 4xxx range and reused platform-wide. - 4Match the target
Make sure the landed total equals the breakdown target shown at the bottom, then save.
- 5Delete if needed
Made a mistake? Click the trash icon next to the breakdown to remove it. Your journals stay intact; the row simply returns to pending.
